The Problem

When we first came on board, SoulSensei was a lean, ambitious team of 15 ~ growing fast but without any formal HR systems in place. With a hybrid working model, inconsistent attendance tracking, no onboarding flow, and payroll processes that lacked structure, things were beginning to feel chaotic. As they prepared to scale, they needed more than HR, they needed a partner to help build foundations that could support rapid, thoughtful growth.

We came on board as SoulSensei’s first HR partners and hit the ground running.

• Created a comprehensive employee handbook tailored to their hybrid structure, setting clear expectations around work hours, leaves, processes, and team conduct.

• Introduced an attendance and leave tracking system adapted to the nuances of hybrid work, ensuring visibility and accountability across the board.

• Took over monthly payroll to ensure accuracy, timeliness, and compliance, freeing the founders from day-to-day operational oversight.

• Designed a structured onboarding flow, so every new team member felt aligned, supported, and welcomed from day one.

In just 6 months, SoulSensei grew from 15 to 50 people and we helped build that team.

Closed critical roles across social media, strategy, content, client servicing, design, HR, and operations.

Worked with the leadership team to define hierarchy, shape reporting structures, and plan for long-term manpower growth.

We continue to work closely with the SoulSensei team today, supporting them with ongoing recruitment, team engagement initiatives, performance management systems, and employee experience design.
